Event restroom planning in San Diego County is part math, part site logistics, and part permit-office reality. The math (how many units for how many guests) is the easy part. The hard part is choosing the right unit type, placing them so they do not appear in the wedding photos or block the food trucks, scheduling service that does not interrupt the event, and getting the order through the City of San Diego Special Events Office or the Port of San Diego or your venue's coordinator on time. This guide is the end-to-end planning workflow we use with event clients every week.

Step 1 β€” Calculate baseline unit count

The industry standard is 1 standard unit per 50 guests for a 4-hour event. From there, scale by:

  • Alcohol: +15% if a full bar is served.
  • Demographics: +15% if your guest list skews majority female (women take, on average, ~1.5Γ— longer per restroom visit).
  • Duration: +20% for a 6-hour event, +35% for an 8-hour event, +50% for an all-day event.

For a 200-guest wedding with a 5-hour reception and a full bar, the math runs roughly 5–6 standard units plus an ADA unit plus a hand-wash station β€” or alternatively a 2-stall luxury restroom trailer plus an ADA unit and hand-wash. See How Many Portable Toilets Do You Need? for fully worked examples across event sizes.

Step 2 β€” Plan ADA access

Any event open to the public requires at least one ADA-compliant wheelchair-accessible unit. The City of San Diego Special Events Office, the Port of San Diego, County Parks, and most private venue contracts enforce this on the permit. The Portable Sanitation Association International (PSAI) recommended ratio is 1 ADA unit per 20 standard units, with a minimum of 1 per event regardless of size.

ADA units should be placed on the closest accessible path to the main event area, not at the back of the lineup. Standard units lined up with an ADA unit at the end of the row defeats the purpose. See ADA Compliant Portable Toilets.

Step 3 β€” Hand-wash and food code compliance

If your event serves prepared food β€” caterer, food truck, farmers-market vendor, bake sale β€” the San Diego County Department of Environmental Health and Quality (DEHQ) Temporary Food Facility (TFF) permit requires hand-wash stations accessible to food handlers. The practical rule is one foot-pump hand-wash station within the food prep area and additional sanitizer or hand-wash stations for guests near the restroom line. PSAI recommends one hand-wash per 4 standard units for non-food events. See Handwashing Stations Rental.

Step 4 β€” Placement and aesthetics

Restroom placement makes or breaks an event's visual feel. Use these rules:

  • Stage out of the photo backdrop. For weddings, that usually means behind hedges, pipe-and-drape, or around a corner from the ceremony arch and reception areas.
  • Cluster, do not scatter. Guests find a single restroom zone faster than three scattered placements.
  • Level ground. Slope greater than 3Β° leans the holding tank.
  • Off the main thoroughfare but visible enough to find without asking.
  • Avoid uphill of streams, storm drains, or food prep.
  • Avoid prevailing wind direction. Coastal events at Sunset Cliffs, Spanish Landing, and Mission Bay get steady afternoon onshore wind; orient the door inland.
  • Truck-accessible. The service truck needs to be within roughly 25 feet for mid-event service stops.

For luxury restroom trailers, factor in 20 feet of leveling room and exterior step clearance. See Luxury Restroom Trailer Rentals.

Step 5 β€” Permits and venue coordination

City of San Diego Special Events Office, Port of San Diego, County Parks, State Parks (Torrey Pines, Cuyamaca, Anza-Borrego), and most private venues each have their own staging, delivery-window, and removal rules. Common requirements include:

  • Delivery only within specified time windows (often 7–9 a.m. day-of)
  • Pickup within 24 hours of event end
  • Certificate of Insurance naming the venue and city as additional insured
  • No placement within X feet of waterways, storm drains, or food vendors
  • Pre-event walk-through with city/venue staff

Get your venue contract or permit in front of your sanitation provider during quoting, not the morning of delivery. See our Portable Toilet Permit Guide.

Step 6 β€” Service schedule

  • Single-day events (under 500 guests): pre-event top-off the morning of, post-event pickup.
  • Single-day events (500+ guests): pre-event top-off plus a mid-event service stop in the second half.
  • Multi-day festivals: minimum once-daily servicing; twice-daily for 5,000+ attendees, with continuous restocking by on-site attendants during event hours.
  • Overnight events: late-night service stop.
  • Multi-day weddings (rehearsal dinner Friday, ceremony Saturday, brunch Sunday): mid-event service Saturday morning.

See How Portable Toilets Are Serviced for the full service workflow.

Step 7 β€” Lead times and booking

  • 1–2 standard units, small private event: 1–7 days lead time.
  • Mid-size event (4–10 units): 2–3 weeks during peak season.
  • Luxury restroom trailer: 3–4 weeks during peak (April–October).
  • Large festival (50+ units): 6–8 weeks; some marquee events book the prior year.

Common San Diego event venues we serve

Liberty Station, Spanish Landing, Embarcadero Marina Park, Balboa Park (where permitted), Mission Bay Park, Sunset Cliffs Natural Park, Del Mar Fairgrounds, the Lodge at Torrey Pines, Cuvier Park, Martin Johnson House, Estancia La Jolla, Brick at Liberty Station, the Inn at Rancho Santa Fe, Carlsbad State Beach, Coronado Tidelands Park, Mission Trails Regional Park, Santee Lakes, Lake Hodges, and private estates throughout Rancho Santa Fe, La Jolla, Del Mar, Coronado, and the back country.

Common mistakes

  • Under-ordering by 20–30%. The most common event-planning mistake. Use the formula, then round up.
  • Forgetting the ADA unit. The permit office catches it; the guest with mobility needs has an unforgettable bad day.
  • One scattered restroom in each corner of the venue. Guests cannot find them. Cluster.
  • Trailer at a venue with no electrical hookup and no generator. Add the generator at booking.
  • Late booking on a peak weekend. Saturday weddings in May and October book out trailers a month ahead.
  • No mid-event service on a 5,000+ attendee event. Lines and complaints by hour 4.

Wedding-specific planning notes

For weddings of 100–200 guests, a 2-stall luxury restroom trailer with an ADA unit and hand-wash station is the most common setup. For 200–350 guests, a 3- or 4-stall trailer. For 350+ guests, a 4-stall trailer paired with 2–3 standard units for overflow during cocktail hour. See Wedding Portable Toilet Rentals.

Festival and concert planning notes

Festivals need distributed restroom zones (not one mega-cluster), keyed to the venue map. A 5,000-attendee festival typically needs 130+ standard units, 5–7 ADA units, and 25–30 hand-wash stations across 4–6 zones, plus continuous on-site service attendants. See Festival & Concert Portable Toilet Rentals.

Frequently asked questions

How many portable toilets do I need for a 200-guest wedding?β–Ό

Either 5–6 standard units plus 1 ADA and 1 hand-wash, or a 2-stall luxury restroom trailer plus 1 ADA and 1 hand-wash. The trailer is the more common wedding choice.

How many portable toilets for 500 guests?β–Ό

Roughly 10–12 standard units plus 1–2 ADA units and 3–4 hand-wash stations for a 4-hour event with alcohol. Add ~20% for 6-hour events.

Do public events require ADA portable toilets?β–Ό

Yes. The City of San Diego Special Events Office and most other San Diego County permitting bodies require at least one ADA-compliant unit per event, with the ratio increasing for larger events.

How far in advance should I book event restrooms?β–Ό

Small events: 1–2 weeks. Mid-size events: 2–3 weeks. Luxury trailers in peak season: 3–4 weeks. Large festivals: 6–8 weeks.

Where should portable toilets be placed at an event?β–Ό

Clustered, on level ground, away from photo backdrops and food prep, off the main thoroughfare but easy to find, and accessible to a service truck for mid-event service stops. Orient doors away from prevailing wind.
